Mentors
The Mentors area is where System administrators manage mentors across all Customer organizations: browse and search mentor accounts, add Guest or Applicant users to a customer as mentors, activate or deactivate them, grant or revoke the ability to submit applications, remove mentors when allowed, and review or cancel pending mentor invitations platform-wide.
A mentor is a person linked to a customer organization who can follow up on attendees and (optionally) submit applications on behalf of that customer.
Accessing Mentors
- Sign in with a System administrator account.
- In the left sidebar, under CUSTOMERS section.
- Click Mentors.
Page structure
The Mentors section has two tabs:
| Tab | Purpose |
|---|---|
| List | Directory of all mentor accounts with search, sorting, and row actions |
| Invitations | Pending and expired invitations to join a customer as a Mentor across all customers—you can cancel any invitation; |
Use the tab bar below the Mentors heading to switch between them.

Search
Use the Search field to find mentors by first name, last name, or email. Results update automatically as you type. If nothing matches, a no results message is shown.

Pagination shows Showing X–Y of Z results (20 mentors per page by default).
Sorting
Open the column header menu (three dots) on sortable columns and choose Sort ascending or Sort descending.
Row actions
Open the Actions menu (⋮) on a row.
| Action | Description |
|---|---|
| View | Opens the mentor’s user profile under Users |
| Edit | Opens Edit mentor (status and the Allow to submit applications option) |
| Remove | Soft-deletes the mentor (see Remove a mentor) |
Add mentor
Click ADD MENTOR above the table to open the Add mentor side panel.
Use this flow when the person already has a Guest or Applicant account and you want to add them to a customer immediately—without sending an email invitation.
| Field | Required | Notes |
|---|---|---|
| Customer account | Yes | Only active customers are listed |
| Mentor | Yes | Selectable only after a customer is chosen. Lists Guest and Applicant users who are not already a mentor for that customer. Use the search box in the dropdown to filter by name or email |
Click CREATE to save. The mentor is created with ACTIVE status. If a previously removed mentor record exists for the same user and customer, it is restored instead of creating a duplicate.
Edit mentor
From the list, choose Edit to open Edit mentor.
| Field | Editable | Notes |
|---|---|---|
| Customer account | No | Shown for reference |
| Mentor | No | Name is read-only |
| Status | Yes | ACTIVE or INACTIVE |
| Allow to submit applications | Yes | When checked, the mentor is also given the Applicant role scoped to this customer, so they can submit applications on the customer’s behalf. Unchecking it revokes that ability |
Click UPDATE to save.
Remove a mentor
Remove soft-deletes the mentor record and the person is no longer a mentor for that customer.
- Read the warning: “The mentor <name> will be removed and will be unreachable.” This operation cannot be undone.
- If the mentor is currently allowed to submit applications, an optional Restrict to submit applications checkbox is shown. Check it to also revoke the mentor’s applicant role for this customer during removal.
- Click REMOVE to confirm.
Invitations tab
This tab lists mentor invitations for all customers.
When a Customer admin invites someone, the invitee receives a signed link (valid for two days) to accept the Mentor role. If the email already belongs to an existing user who accepts, the invitation is cleared when the mentor record is created.
System administrators can cancel any invitation (the pending invite is removed and the acceptance link no longer works).
Table columns
| Column | Description |
|---|---|
| Invitee address — sortable | |
| Status | PENDING (valid link) or EXPIRED — sortable |
| Customer account | Target customer — sortable |
| Date created | When the invitation was sent — sortable |
| Actions | Cancel invitation |
Row actions
| Action | Description |
|---|---|
| Cancel invitation | Removes the pending invitation so the acceptance link no longer works |
