Invoice Documents

The Invoice documents area lets System administrators assemble, review, and finalize billing documents for customers. An invoice document groups withdrawal and credit transactions from a billing account and, when finalized, creates an Invoiced amount transaction.

Accessing Invoice Documents

  1. Sign in with a System administrator account.
  2. In the left sidebar, open the BILLING section.
  3. Click Invoice documents.

Invoice document statuses

StatusDescription
Not invoicedDraft — can be edited or deleted
InvoicedFinalized — Invoiced amount transaction created; cannot be edited or deleted

Click SHOW FILTERS to expand advanced filtering:

Exporting to CSV

Click DOWNLOAD CSV above the table to export the invoice documents to a CSV file. The export:

  • Respects the currently applied filters — only the documents matching the active filters are exported (clear all filters to export everything).
  • Is UTF-8 encoded and downloads as invoice_documents_MM_DD_YYYY.csv.

Each row represents one invoice document. The file includes the following columns:

Creating an invoice document

  1. Click CREATE NEW.
  2. Select the Customer and Billing account.
  3. Select from available Withdrawal and Credit transactions (unlinked transactions for that account).
  4. Choose Not invoiced (draft) or Invoiced (finalize immediately).
  5. Submit and confirm if finalizing.

Editing an invoice document

Open Edit on a Not invoiced document to add or remove transactions and save or finalize.


Viewing an invoice document

The detail page shows a printable summary by service type:

  • On request services
  • Scheduled services
  • Ongoing courses

Each section lists applications with transaction amounts and subtotals, plus a Grand total.

The header includes the invoice document ID, creation date, Created by, customer organization details, customer admin details, and billing account information.
