Certificates

Generate certificates for finished regular course instances when attendance is complete, and view certificates issued for ongoing courses.

Use Certificates to generate pro forma certificate records for qualified attendees on finished regular (scheduled) course instances, and to view certificates already issued for ongoing course instances.

Accessing Certificates

  1. Sign in with a System administrator account.
  2. In the left sidebar, open the SUPPLIERS section.
  3. Click Certificates.

The page title is Certificates.

Page layout

The page has two tabs:

Scheduled services (courses) tab

Each listed instance has:

  • Certificates enabled on the parent course
  • Finished course instance status
  • Every attendance session marked for all attendees (no Not marked statuses remain)

Each listed instance has:

  • Certificates enabled on the parent course
  • At least one attendee with a generated certificate (created when course completion status is set to Completed on the attendees report)

Generate certificates (scheduled services only)

On the Scheduled services (courses) tab, when certificates are Not generated, open the action menu and choose Generate certificates.

A confirmation dialog shows attendees in two groups. The dialog also displays course details, including the Attended sessions required percentage configured on the parent course.

Confirm to create a certificate record for each qualified attendee. The list then shows Generated for that instance.

If the assigned professional does not have a signature on their profile, generation is blocked and an error message is shown. Only System administrators can upload or replace a professional signature (from the professional’s user profile).

After generation, attendance sessions for that course instance cannot be edited anymore.

Ongoing courses do not use bulk generation from this page. Certificates for ongoing courses are created when an attendee’s completion status is set to Completed on the attendees report, or in bulk when Certificates enabled is turned on for a course that already has completed attendees (see CoursesEdit).

View certificate records for a course instance from either tab.

Accessing the generated certificates list

  1. Open Certificates (see Accessing Certificates).
  2. On the Scheduled services (courses) tab, find a course instance where the Certificates column shows Generated. On the Ongoing courses tab, every listed instance already has at least one certificate.
  3. Open the Actions menu (⋮) on that row.
  4. Choose Certificates.

The page title is Certificates. Use Back to list at the top to return to the course instance list.

Page layout

At the top you see course instance details:

  • Course title and Course instance code
  • Attended sessions required for regular (scheduled) courses
  • Duration for ongoing courses

Below that, a table lists everyone who received a certificate:

CertificateDownload link to save the attendee’s certificate as a PDF. As a System administrator, you also see Recreate beside Download.

Click Download on a row to save that attendee’s certificate to your device as an A4 PDF.

Recreate certificate (system administrator only)

If an attendee’s identity data was corrected after their certificate was generated, you can update the stored certificate data without changing the original issue date.

  1. On the generated certificates list, click Recreate beside Download on the attendee’s row.
  2. Review the confirmation dialog. If the certificate snapshot differs from the attendee’s current profile, a table shows which fields will change (On certificate vs Current value).
  3. Confirm to recreate the certificate.

The original issue date is preserved. The attendee is not notified again.

  • Scheduled (regular) courses — one-page certificate with attendee name, personal number, course name, period, attendance hours, issuing service, professional name, and signatures.
  • Ongoing courses — two-page certificate: page 1 matches the fields above (including the ordering municipality where applicable); page 2 contains standard information about civic orientation (SO).

Certificate identity data (name, personal number, LMA number) is stored as it was when the certificate was generated. If an attendee later corrects those details in their profile, downloaded certificates still show the original values until you use Recreate to apply the corrected identity data while keeping the original issue date.

Notifications

When certificates are generated, each qualified attendee receives an email and system notification.
