Calendar
As a System admin, the Calendar gives you a platform-wide view of scheduled events. You can inspect any event, filter large schedules, and manage on-request application events directly from the calendar.
Accessing the Calendar
Click Calendar in the main navigation menu.

Click an event to open the Event details sidebar on the right.
Which events you see
You see all calendar events on the platform—every on-request application event and every course instance event—unless you narrow the list with filters.
Filters
Use SHOW FILTERS / HIDE FILTERS above the calendar. Filters only hide events you are already allowed to see; they never reveal restricted data.
| Filter | Purpose |
|---|---|
| Subject | One or more subjects |
| Subject area | Subject areas, including “no subject area” for on-request applications |
| Professional | Events for selected professionals |
| Type of application | On request, Scheduled (course instances), or Ongoing |
| Service | One or more services |
| Language | One or more languages |
Filter lists include the full set of subjects, services, and professionals relevant to platform administration. CLEAR FILTERS resets your selection.
Event details
The sidebar can include application or course identifiers, service and subject information, start/end time, language, professional and substitute professional, status, attendee counts, classroom link (OPEN CLASSROOM), created/last edited by, and cancellation details when applicable.
For course instance events, MANAGE EVENTS opens the course instance management page for bulk or structural changes.
Actions you can take
Create events
- Click ADD EVENT, or select a time range on the grid.
- New events are tied to accepted on-request applications.
Edit events
| Event type | From the calendar |
|---|---|
| On-request application | Pencil icon: edit title, times, classroom, and related fields. You may also drag or resize the block to change times (not into the past). |
| Course instance | Use MANAGE EVENTS in the sidebar—not inline grid edit for course times. |
Editing is blocked if the event is canceled, locked, already linked to a transaction (billing), or on a stopped application.
Cancel events
Use the red cancel icon in the sidebar for both on-request and course instance events (when not already canceled).
Delete events
The delete icon is available for on-request application events only (not course instance events from this screen). Deletion is disabled if a transaction exists.
Substitute professional
On events with a professional assigned, use + / − next to Substitute professional to assign or remove a substitute.
Track attendance
For course instance events with attendance configured, Track attendance appears in the sidebar. It opens the same dialog as Track attendance on the Attendance Sessions tab.
What you cannot do from the grid
- Drag or resize course instance events to change schedule (use course instance management instead).
- Edit or delete when the restrictions in the table above apply.
