Invitations

Why am I receiving invitations?

A: You receive invitations when Service administrators have reviewed applications and matched your professional qualifications with specific service requirements. This includes your subject expertise, language capabilities, availability, and geographic suitability.

What does “PENDING” status mean?

A: “PENDING” means the invitation is waiting for responses from professionals. You can still accept or reject the invitation during this status.

What does “CONFIRMED” status mean?

A: “CONFIRMED” means the Service administrator has decided to assign the delivery of the service to you. This is the final status when you’ve been selected for the service.

What does “CLOSED” status mean?

A: “CLOSED” means the Service administrator has decided to assign the service to other invited professionals or has rejected the related application in general. You can no longer respond to closed invitations.

Do I need to provide a reason when rejecting an invitation?

A: Yes, when rejecting an invitation, you must provide a reason in the “Note” field. This is mandatory and helps administrators understand your decision.

Can I change my response after accepting or rejecting an invitation?

A: Yes, you can change your response as long as the application status is not “CLOSED”. You can switch between accepting and rejecting until the Service administrator closes the application or assigns it to another professional.

What happens if I miss the deadline for responding to an invitation?

A: If you miss the deadline, the invitation status may change to “CLOSED” and you will no longer be able to respond to it. Always check the deadline and respond promptly.

How do I know if I’m qualified for an invitation?

A: You only receive invitations when your professional profile matches the specific requirements. Review the invitation details to confirm you have the necessary expertise, language skills, and availability before accepting.

Ongoing Course Applications

When can I manage an ongoing course application?

A: You can only manage ongoing course applications when their status is “Processing”. The “Manage” option will not be available for applications with other statuses.

What does “Pending” status mean for an application?

A: “Pending” is the default status when an application is created. It indicates that not all attendees have been resolved yet (decisions for start dates or participation status haven’t been made for all attendees).

What does “Ready” status mean for an application?

A: “Ready” status indicates that all attendees have been resolved - meaning decisions have been made for start dates or participation status for every attendee in the application.

Why can’t I change the application status?

A: The status dropdown is disabled until all attendees are resolved. You must make decisions for all attendees (either set a start date or mark them as not participating) before you can change the status from “Pending” to “Ready”.

Why is the “Decided Start Date” field disabled?

A: The “Decided Start Date” field is disabled when “Participates” is unchecked because there’s no point in having a start date if the attendee is not participating.

What happens if I uncheck “Participates” after setting a start date?

A: If you uncheck “Participates” after setting a “Decided Start Date”, the date field will become disabled and the value will be removed automatically.

What is my responsibility regarding attendee invitations?

A: As a Professional, you must review all applications, check the attendee list, get in touch with each attendee to define a starting date, and send invitations to confirm attendance and update the application accordingly.

When should I send invitations to attendees?

A: You should send invitations to each attendee to ensure their acceptance for participation and their user accounts in the system. This is part of your responsibility in managing ongoing course applications.

What happens when I click “Invite” for an attendee?

A: When you click “Invite”, an email message with an invitation link is sent to the attendee, and the “Invite” button changes to “Re-send invitation” button.

What does “User account status” show?

A: The “User account status” shows whether the attendee’s user account is “Not confirmed” (default) or “Confirmed” (after they accept the invitation and create/log into their account).
