Calendar

As a Professional, the Calendar is your working schedule: events where you teach, substitute, or take part as an attendee. You can filter the grid, update many of your own events, cancel them before they start, and track attendance on course events when that is enabled.

Accessing the Calendar

Click Calendar in the main navigation menu.

Events on the grid

Each block shows the time range and title. For on-request events where you may edit, you can drag the block on the grid to move the event to a new start time (not into the past). The length of the event stays the same—you cannot resize the block to change duration. Course instance events cannot be moved on the grid—use the edit flow described below.

Which events you see

The calendar includes:

  • Events where you are the assigned professional or substitute professional

If you hold other roles as well, you see the combined set of everything that applies to your account.

CLEAR FILTERS resets your selection.

Event details

The sidebar can show application ID (with a link to your professional application view when applicable), title, service, subject, course information, start/end time, language, professional and substitute professional, status, physical presence, attendee counts, OPEN CLASSROOM, and created/last edited by.

Substitute professional is displayed when assigned; only administrators assign or remove substitutes—not professionals from this screen.

Editing events

On-request application events

Click the pencil icon in Event details, or drag the event on the grid (on-request only).

You can change:

  • Start time — when you change the start, the end time adjusts automatically so the event length stays the same. You cannot set the end time separately.
  • Classroom — choose a room from your profile or use a custom link (radio buttons; the current room is selected)

Title and end time are not editable for professionals in this form (administrators can change those fields).

Use UPDATE to save or CLOSE to leave without saving.

You cannot edit when the event is canceled, locked, or already linked to a transaction (billing).

Course instance events

  • Scheduled courses (not ongoing), while the instance is not finished: use the pencil to open a limited edit (for example classroom). You cannot change course times from the calendar grid.
  • Ongoing courses or finished instances: editing from the calendar is not available—use the relevant course tools elsewhere on the platform.

Administrators use MANAGE EVENTS on course instances; that button is not shown for professionals.

Canceling events

The red cancel icon appears on events where you are the responsible professional (on-request and course).

  • You may cancel only before the event start time.
  • After the event has started, cancel is disabled for professionals (administrators can still cancel when applicable).
  • Complete the cancel form with the required note.

Track attendance

For course instance events where attendance is configured, Track attendance appears in the sidebar when you are the assigned professional. It opens the same dialog as on Attendance Sessions. See Attendance for full detail.

What you cannot do on the calendar

  • ADD EVENT — only system and service administrators create new on-request events from the calendar.
  • Delete events from the sidebar.
  • Resize blocks on the grid to change how long an event lasts (duration stays fixed when you move or edit start time).
  • Drag course instance blocks on the grid.
  • Edit title or end time directly (only administrators can).
  • Change times on ongoing or finished course instances from here.

When you are unsure whether a change is allowed, open Event details—disabled edit or cancel controls usually mean the event is locked, billed, canceled, or outside your role for that event.
