What is a guest account?

A guest account is the default account type in the platform. Every new user that registers in the system or is created by a System administrator without a more specific role starts as a Guest. The guest role is intentionally minimal: it provides basic platform access and acts as the starting point from which users are later promoted to a more specific role such as System admin, Economy admin, Applicant, Service admin, Customer admin, Supplier admin, Professional, or Mentor.

Guest Account Activities

Guest account holders have a very limited set of capabilities. They can:

  • Read the Calendar: View calendar entries available to them
  • Read Calendar Events: View calendar events available to them
  • Maintain Their Profile: Update their own user profile

How to get a guest account?

A guest account is created in one of two ways: directly by a System administrator as part of preparing a user for a future role, or automatically as part of accepting an invitation (for example, when a Customer admin sends a professional invitation or a customer invitation to a person who does not yet have a user account in the system).

Step-by-Step Process

  1. Account Creation Trigger

    • A System administrator creates a new user account in the platform (typically because the user will soon be assigned a more specific role), or
    • You receive an invitation email (for example to become a Professional, Mentor, or Applicant) and you do not yet have a user account on the platform
  2. Registration (if invited)

    • If you arrived through an invitation, follow the link in the email
    • Complete the registration form: set your password, choose your language, and accept the GDPR terms
    • Your account is created and you are automatically logged in
  3. Account Verification and First Login

    • Your email address is verified as part of the registration flow
    • You log in for the first time and your account is active as a Guest with basic access
  4. Promotion to a Specific Role (if applicable)

    • If the registration was triggered by an invitation, the invitation flow promotes your account immediately to the relevant role (for example Professional or Mentor)
    • If the account was created without an invitation, you remain a Guest until a System administrator assigns you another role, or until you are added to a supplier, customer, or service

Important Notes

  • Default Role: The Guest role is the default for every new user account
  • Limited Capabilities: Guests have very limited access on purpose; the role is intended as a stepping stone toward a more specific role
  • Two Creation Paths: Guest accounts are typically created either directly by a System administrator or implicitly during invitation-based self-registration
  • Promotion Removes the Guest Role Only for System Roles: When a guest is promoted to a system role (System admin, Economy admin, or Applicant) or assigned as a Service admin, the Guest role is automatically removed. When the user is assigned other roles such as Customer admin, Supplier admin, Professional, Mentor, or Attendee, the Guest role is kept in addition to the new role
