Ongoing courses

Ongoing course applications enrol attendees into ongoing course instances. Use this list to complete draft applications, track processing applications, and follow accepted or rejected outcomes for your customer organization.

Accessing the list

  1. Sign in as a Customer administrator.
  2. Open CUSTOMERApplications.
  3. Select the Ongoing courses tab.

Which applications you see

You see ongoing course applications for your customer organization only.

Filters

Sorting

Default sort is Submitted at, newest first.

Sortable columns: Application ID, Course code, Course, Subject, Status, Created by, Created at, Submitted by, Submitted at.

Application lifecycle

After submission, Service administrators and the assigned Professional move the application through review.

Create an application

Start from Courses:

  1. Open a published ongoing course instance and click APPLY (including when the instance is full and a waiting-list notice is shown).
  2. The platform creates a DRAFT application with the selected course instance and opens the edit page.

On the edit page:

SubmitClick SUBMIT when every instance has at least one attendee. Confirm in the dialog

If attendee count exceeds available places on an instance, the submit dialog explains that the application may be placed on a waiting list.

After submission

When you click SUBMIT, the application leaves DRAFT and becomes NEW. The platform records Submitted by and Submitted at.

Service administrators and the assigned Professional review it and may move it through PROCESSING to ACCEPTED or REJECTED. You follow progress from the list or the View page.

What you cannot do (and why)

LimitationReason
EditCustomer admins and applicants can change an application only while it is DRAFT. After submission, attendee details, course instances on the application, and notes are part of the review workflow — administrators and professionals process the application as submitted.
DeleteSubmitted applications are kept for audit and review. Only DRAFT applications can be deleted.
Change attendees or instancesInstances and attendee data are locked during review so capacity, waiting-list handling, and professional assignment stay consistent.

If something must be corrected before a decision, contact the Service administrator for that course — they can update the application while it is not ACCEPTED or REJECTED.

For REJECTED applications, create and submit a new application if you need to apply again.

Edit a draft application

  1. Open ApplicationsOngoing courses.
  2. Choose Edit on a DRAFT application, or open View and click EDIT.
  3. The same edit page opens — add or update attendees, save More information, and SUBMIT when ready.

View application

Open View from the row Actions menu (⋮). The page title is Application: [Application ID].

The detail page is read-only. Sections appear top to bottom, separated by horizontal dividers.

Log notes

Separate card below the main detail (Log notes heading). Shows status-change history and notes marked visible to the customer. The card appears only when matching notes were returned for your role.

Custom application notes

Separate card below the main detail (Notes heading). Notes shared with administrators and assigned professionals. The panel is always shown; displays No notes have been added when empty.
