On Request Services

The Applications page provides a tab for “On request services” applications, which are for on-demand educational services.

Accessing Applications

To access Applications, click “Applications” in the main navigation menu and select the “On request services” tab.

Page Features

Filter Options

  • SHOW FILTERS: Button to expand filtering options for the applications
  • Filter Controls: Additional filtering options available when expanded
  • Search Bar: Text input with magnifying glass icon to search through your applications

Table Columns

Each application is displayed with comprehensive information:

  • #ID: Unique identifier for each application
  • STATUS: Current state of the application with color-coded labels:
    • ACCEPTED: Green label indicating the application has been approved
    • PROCESSING: Purple label indicating the application is currently being processed
    • DRAFT: Gray label indicating the application is saved but not yet submitted
    • NEW: Blue label indicating the application has been submitted
  • SERVICE: Type of service being requested
  • DATE CREATED: Date and time when the application was initially created
  • SUBMITTED AT: Date and time when the application was submitted (may be empty for DRAFT status)
  • ACTIONS: Three dots providing access to application management options

Application Actions

  • View: View detailed application information
  • Add attendees: Add participants to the application
  • Edit: Modify application details
  • Delete: Remove the application

View Application

To view detailed information for a specific application:

  1. Click the actions menu (three dots) next to any application in the Applications list
  2. Select “View” from the dropdown menu
  3. You will be taken to the View Application page displaying all relevant details

Application Overview

The View Application page displays comprehensive information about the selected application:

  • Application ID: Unique identifier for the application
  • Status: Current state of the application
  • Date created: Date and time when the application was initially created
  • Submitted at: Date and time when the application was submitted

Customer Information

Customer Account Details

  • Organization: Name and ID of the customer organization
  • Address: Physical address of the organization including street, postal code, city, and country
  • Phone: Organization’s phone number
  • Website: Organization’s website URL
  • Email: Organization’s general email address

Customer Admin Details

  • First name: First name of the customer administrator
  • Last name: Last name of the customer administrator
  • Email: Email address of the customer administrator

Service Information

Step 1: Select Service

  • Service name: Name of the selected service for the application

Step 2: Options

  • Spoken Language: Language used for communication during the service
  • Mentor: Assigned mentor with name and email address
  • Level, Year, Group, Program: Educational level information
  • Physical Study Guidance: Checkbox indicating if the application concerns physical study guidance

Step 3: Subject and Objectives

  • Subject: Subject area for the service
  • Subject Area: Specific area within the subject
  • Objectives: Number or description of learning objectives

Step 4: Time

  • Time Zone: Time zone for scheduling
  • Start date: Start date of the service period
  • End date: End date of the service period
  • Lessons in Weekday: Schedule showing day of week and time range for lessons
  • Total number of lessons (sessions): Total count of scheduled lessons
  • Total billable hours: Total hours to be billed
  • Hourly price: Price per hour in the specified currency
  • Total amount: Total cost for the service
  • Selected billing account: Billing account associated with the application

Attendees

The attendees section displays all individuals associated with the application:

  • Total attendees: Count of all attendees listed

Attendees Table

  • #: Row number
  • FIRST NAME: First name of the attendee
  • LAST NAME: Last name of the attendee
  • EMAIL: Email address of the attendee
  • PARTICIPATES: Checkbox indicating whether the attendee is participating

Uploaded Documents

The uploaded documents section displays all files associated with the application:

  • Total documents: Count of all uploaded documents

Documents Table

  • #: Row number
  • NAME: Name of the document file
  • FILE SIZE: Size of the file
  • UPLOADED AT: Date and time when the document was uploaded
  • DOWNLOAD: Icon to download the file

Notes

The notes section displays any additional notes or comments related to the application. If no notes have been added, it will display “No notes have been added.”

Page Actions

  • CANCEL: Button to close the View Application page and return to the Applications list

Managing On Request Services Applications

Editing Applications

  1. Click the actions menu (three dots) next to any application with “DRAFT” status
  2. Select “Edit” from the dropdown menu
  3. Modify application details as needed
  4. Save your changes

Deleting Applications

  1. Click the actions menu (three dots) next to an application with “DRAFT” status
  2. Select “Delete” from the dropdown menu
  3. Confirm the deletion

Adding Attendees

To add attendees to an accepted application:

  1. Click the actions menu (three dots) next to an application with “ACCEPTED” status
  2. Select “Add attendees” from the dropdown menu
  3. A warning modal dialog will appear first, displaying the message: “The application is accepted. If you confirm the attendee will be added without possibility to be removed afterwards.”
  4. Review the warning message carefully
  5. Click “CONTINUE” to proceed to the attendee form, or “CLOSE” to cancel
  6. If you clicked “CONTINUE”, the “Add attendee” form will open
  7. Enter the attendee’s email address in the Email field (this field is required)
  8. Click “ADD” to add the attendee, or “CLOSE” to cancel

Important Notes:

  • Once you confirm adding an attendee to an accepted application, the action cannot be undone
